How to set up non-refundable rates
To set up non refundable rates, follow these steps:
Log in to your SiteMinder platform.
Go to Rooms and rates > Rate plans > click Add a rate plan. Create your standard and non-refundable rate plan.
You can derive the non-refundable rate plan as a discounted percentage or amount from the standard rate plan. The non-refundable rate will be automatically adjusted when the standard price is updated. Select “Derive daily rates” when creating the non-refundable rate plan.
Assign the rate plans to the room types to create your “room rates”.
If you have a PMS/RMS, map your room rates to your PMS/RMS (Distribution > Connectivities).
Map your room rates to your connected channels and direct booking engine. (Distribution > Channels).
Set up the cancellation policy for this non-refundable (100% fee if cancelled) directly in each channel's extranet (most channels). Set the cancellation policy in your platform for these channels only: Booking.com (with Enhanced sync enabled), Channels Plus, Airbnb, Direct booking.
💡 Tip: add “FLEX” or “NR” to the end of the rate names to help you see policies at a glance.
Important to remember: Setting up a non-refundable rate adds it as an additional rate option alongside any existing flexible (cancellable) rates. If you want to only sell non-refundable rates during certain periods (for example, over Christmas or New Year), you need to place a stop sell on your flexible rate for those dates (do not unmap them).
Set up derived rates
To optimise your rate management and save time and effort, you can derive the non-refundable rate as a discounted percentage or amount from your standard rate. The non-refundable rate will be automatically adjusted when the standard price is updated.
If you have an integrated PMS, you can either set up derived rates in your PMS, or choose to set them up in your SiteMinder platform. You will still need to map them for reservation delivery.
Where to update inventory for the standard rate (derived rates will be automatically adjusted)
Two-way integration: If your PMS sends inventory updates to SiteMinder, make all inventory (rates, availability, restrictions) updates in your connected PMS
One-way integration: If your system does not send inventory (rates, availability, restrictions), make inventory updates directly in the SiteMinder inventory grid

Set up non-refundable cancellation policies
After creating your non-refundable rate plan, set up the non-refundable cancellation policy for each channel you distribute the rate to.
For most channels, non-refundable cancellation policies must be set up directly in the channel's extranet (the OTA's partner portal). Your SiteMinder platform does not send cancellation policies to most channels.
The exceptions are:
Booking.com (with Enhanced sync enabled)
Channels Plus
Airbnb
Direct booking
For all other channels, log in to the channel's extranet and configure the non-refundable cancellation policy there. For assistance, contact the channel directly.
