Enable and edit e-mail templates for Direct booking

How to turn on, edit, test and add a Google Maps link to your Direct booking guest e-mails.

Turn on guest e-mails for Direct booking

Turn on guest e-mails to automatically contact guests who book through your booking engine. Go to Direct booking > Configuration > Guest communications and turn on the toggle next to each e-mail you want to send:

  • Reservation confirmation

  • Reservation modification

  • Reservation cancellation

  • Pre-arrival message

  • Post-departure message

⚠️ Note: After you turn on an e-mail type, customise its template before it is sent. If a template is not customised, guests receive blank e-mails.

What can I edit in my guest e-mails?

You can edit the following fields in the e-mail templates sent to your Direct booking guests:

  • Subject line

  • Header and footer text

  • Header and footer images (you can include a URLs so that if guests click on the image, they will be directed to a specific URL

⚠️ Note: Your property name shown in guest e-mails, for example in the line "Thank you, your reservation at [Property Name] has been confirmed," is not part of the e-mail template and cannot be edited directly in the template. This text is automated and your property name is pulled from Property settings > Property details > Property.

💡 Tip: the recommended dimensions for the header and footer image in Direct booking e-mails are 580px width and 164px height.

Why are guests receiving blank e-mails?

Guests receive blank e-mails when an e-mail type is turned on but its template has not been customised. To fix this, open each enabled e-mail type and edit the template by adding subject, header and footer text.

Preview and test your e-mail templates

As well as using the Show preview feature, it is recommended to test your Direct booking e-mail template by sending a test e-mail. Make a dummy reservation using your own e-mail address, then check how the e-mail displays:

  • On different devices, such as desktop and mobile

  • In different e-mail providers, such as Gmail and Outlook

  • In different web browsers, such as Chrome and Firefox

Add a Google Maps link to your reservation e-mails and Contact us page

The Location of your property on Google Maps is the link used when a guest clicks:

  • “Show on map” in their reservation confirmation e-mail.

  • Your property’s address on your booking engine’s “Contact us” page.

To make your property address clickable in the reservation confirmation e-mail and on your “Contact us” page, add a Google Maps URL:

  1. Go to Direct booking > Configuration > Guest communications.

  2. Click the pencil edit icon next to Location of your property on Google Maps.

  3. Open Google Maps from your browser.

  4. Search for your property using the search bar in the top left.

  5. Once a red marker is pointing at your property, a menu will appear on the left.

  6. Click the option Share.

  7. Click on Copy Link in the window that appears (make sure that you are in the tab Send a link). Please note: do not use the code or the link in "Embed map".

  8. Paste this link in the field.

  9. Click Publish changes.

💡 Note:

  • If the Location of your property on Google Maps field is blank, the address on your Contact us page will not be hyperlinked.

  • The embedded map on your booking engine’s Contact us page is related to your address in Property settings. If the map points to an incorrect location, please update your address details in Property settings > Property details > Property.

Editing templates using HTML and Liquid code

⚠️ Note: You can no longer turn on code editing. If you do not already use code editing, you cannot enable it. You can still edit your templates using the standard fields: subject line, header and footer text, and header and footer images.

Code editing is only available if you already have it enabled on your templates. All changes made are at your own risk.

⚠️ Note: Even with code editing enabled, some content such as your property name is still pulled from Property settings > Property details > Property and cannot be overridden in the template code.
