Important to know:
Room rates are the result of assigning a rate plan to a room type. Once the room rate is created, you can map the room rate to a channel.
To create a room rate, go to Rooms and rates > Rate plans.
If your property is a hostel or dormitory and you sell by the bed, we recommend setting up room types as beds as it will enable you to sell the beds individually on your booking engine.
What are room rates?
Room rates are the result of assigning a rate plan to a room type.
Once you have created a rate plan, assign it to a room type and configure the pricing and restrictions to create the ‘room rate’ (for example, ‘Double room, Non-refundable’).
Room rates allow you to offer your rooms through your channels and booking engine at varied prices to attract more guests. The more room rates you offer on your channels and booking engine, the more chances to get reservations.
Room rates:
Use a set of rules inherited from their rate plan to sell the specific room type.
Can be mapped to your channels and added to your direct booking engine. Once a room rate is mapped to a channel, a “channel rate” is automatically created to represent that connection.
Can be mapped to your property management system (PMS), revenue management system (RMS), or central reservations system (CRS) to centralise management of the room rate.
Need to match the configuration you have in your connected channels and PMS/RMS/CRS. If they don’t use the equivalent room type and rate plan, cross-mapping could lead to overbookings.
Let you override settings from the parent room type and rate plan if needed.

Create a room rate
To create a room rate, go to Rooms and rates > Rate plans.
Assign the rate plan to a room type by clicking on the rate plan’s plus button (+), or click on the rate plan name > Assign room type, then configure the following to create your room rate:
General information
Room type — the room type to assign the rate plan to.
Description — this description is shown on your booking engine and sent to some of your booking channels, if they support it.
Occupancy and restrictions
Included occupancy — the number of guests included in the room rate.
Stop sell — tick this option to apply a stop sell for this room rate by default.
Maximum occupancy — the maximum number of guests allowed for this room rate.
Release period — the number of days in advance a reservation must be made.
Default minimum stay — the minimum number of nights that must be booked.
Default maximum stay — the maximum number of nights that can be booked.
Inclusions — the items included in the rate plan such as Breakfast or Dinner. The inclusions will be sent to certain channels who support receiving inclusions (e.g. Booking.com).
Availability — select between:
Linked to selected room type – share this room rate’s availability with the room type (our recommended setup).
Managed independently — manage this room rate’s availability independent of any room type.
Pricing details
Rate setup
Override rate plan pricing — this button only appears when assigning a room type to a rate plan that is derived from another rate plan. Use this option to override the derivation if you don’t want the room rate to follow the rate plan’s pricing rules. We recommend implementing derivations on the rate plan level and not overriding the rate plan pricing.
Minimum rate — the minimum price allowed to be set in the inventory for this room rate.
Daily rates — choose between:
Manually input daily rates — manually enter the rate (the Full rate or ‘rack rate’).
Derive daily rates — this will derive rates from another room rate. Note that derived rate plans cannot be manually modified in the Inventory grid.
Extra rates/discounts
Extra adult rate — the rate to charge over the Included occupancy (per extra adult, per night).
Extra child rate — the rate to charge over the Included occupancy (per extra child, per night).
Single guest discount — add a discount for single guest stays when your Included occupancy is 2 or more. Choose between amount or percentage and enter a value.
Note:
Once created, your new room rate will appear in Distribution > Inventory, as well as in Rooms and rates > Rate plans.
Wait until you have mapped your room rate to your channels before adding restrictions, as they are added at the channel rate level.
Any field with a lock icon means that the value has been inherited from the room type or rate plan. You can override this value by clicking the lock icon and entering a new value that will apply only to this room rate.
Edit or delete a room rate
To edit or delete a room rate, follow these steps:
Go to Rooms and rates > Rate plans.
Click on the parent rate plan’s down arrow (∨) to see its room rates.
Click on the room rate you want to modify or delete.
In the Room rate actions menu, select Edit or Delete.
Make the changes and click Save, or click Delete.
If deleting a room rate, make sure to click on the room rate, not the rate plan. If you delete a rate plan, all of its room rates and channel rates will also be deleted and unmapped.
Deleting a room rate:
Is permanent and cannot be undone.
Also deletes its associated mapped channel rates. No more updates will be sent from your platform to those rates.
Won’t delete the equivalent room rates on your channels or PMS/RMS/CRS. You will need to directly remove any room rates you no longer wish to sell on their side. Contact their support team if you are unsure about how to do this.
Won’t be possible if there are still reservations booked for this room rate through your booking engine that have not passed their check-out date.
Therefore, you may wish to Suspend the direct booking rate until all reservations booked on the room rate have checked out. Then you can proceed to delete the room rate.
