About room rates
A room rate is created when you assign a room type to a rate plan. Example of a room rate: Double room, Non-Refundable.
Room rates include pricing, restrictions, and occupancy settings. When mapping room rates to connected channels, overrides can be set for specific channels if needed.
Important: Room rate configurations must match those in your connected channels and PMS/RMS/CRS. If they don’t match it can result in cross-mapping and overbookings.
Create a room rate
You can create room rates when creating a new rate plan, or after the rate plan is created by assigning room types one at a time or in bulk.
To create a singular new room rate:
Go to Rooms and rates > Rate plans.
Click on a rate plan and click Assign room type.
Configure the settings for the room rate, then click Save.
Create multiple room rates
To create multiple room rates at once:
Go to Rooms and rates > Rate plans.
Click on a rate plan and click Assign multiple room types.
If this is the first time you are assigning room types to this rate plan, enter the Full rate (for example, your rack rate), Included occupancy, and Extra adult rate, and Extra child rate, then click Next.
Review your room types and details, then click Assign room types.
Once the room rates are created, you can edit them to configure any extra settings, such as overrides.
Note: Some fields may be pre-filled when you assign multiple room types to create room rates. In this case, you will need to edit the rate plan to make any changes. For example when:
The rate plan derives daily rates from an existing rate plan
Room types have already been assigned to this rate plan.
Room rate settings
Configure the following settings for your room rate:
General Information
Room type: the room type the rate plan is assigned to
Description: this is shown on your direct booking engine and is also sent to some booking channels (if supported)
Occupancy and Restrictions
Included occupancy, Stop sell, Maximum occupancy, Release period (advance purchase restrictions), Minimum/Maximum length of stay, Inclusions (Breakfast, Lunch, or Dinner)
Pricing Details
Rate Setup
Override rate plan pricing: you can override the rate plan’s pricing, however it is simpler to manage these overrides at the rate plan level rather than at the room rate level
Minimum rate: the lowest price that can be set for this room rate
Daily rates — choose between Manually input daily rates (manually enter the Full rate, for example your rack rate) or Derive daily rates (derive rates from another room rate. The price of the room rate will be automatically adjusted based on the price for the linked room rate)
Extra Rates/Discounts
Extra adult/child rate, charged per night
Single guest discount: add a discount for single guests when the included occupancy is two or more. Select either a specific amount or a percentage discount and enter the value
Note:
You can override room rate settings and add channel restrictions when mapping the rate to the channel
Any field with a lock icon means that the value has been inherited from the room type or rate plan. To override this value, click the lock icon and enter a new value. This new value will only apply to the specific room rate.
Update a room rate
To edit an existing room rate:
Go to Rooms and rates > Room types.
Click on the room rate you want to modify.
Make the changes.
Click Save.
Delete a room rate
Before deleting a room rate, unmap it from all channels to prevent sync issues. Check for any upcoming reservations using this rate. Consider temporarily closing the rate instead of deleting if you might need it again.
To delete a room rate:
Go to Rooms and rates > Rate plans.
Click on the room rate you want to remove.
Click Delete.
Review the warning message.
Click Delete again to confirm.
Important to know before deleting room rates
Deleting a room rate cannot be undone
Deleting a room rate will also delete all associated mapped channel rates and stop inventory updates from being sent to the channels. However, it will not delete the room rates on your channels or in your PMS/RMS/CRS. You will need to manually remove any room rates you no longer wish to sell directly via the channel or your connected system
If there are still reservations for this room rate through your direct booking engine that have not yet checked out, it won't be possible to delete the room rate. You might want to first suspend the direct booking rate until all the reservations on it have checked out. Once that's done, you can delete the room rate
