Manage your Booking Engine's promotion codes

💡 Important to know:

  • Promotion codes created in our platform can only be used in our Booking Engine.

  • Your channel(s) may use different promotion codes from ours — for more information, please contact their support teams.

  • To manage your Booking Engine’s promotion codes, go to Direct booking > Promotion codes.

  • You can track promotion codes for your booked reservation(s) by downloading a reservation summary. To do this, go to Reservations > filter your reservations > Download CSV > Reservation summary.

Navigate your Booking Engine’s promotion codes

The Promotion codes tab features the following filters and buttons:

  • Add promotion code — create a new promotion code.

  • Search promotion code — find a specific promotion code by entering a search term.

  • Expand all — expand all of your promotion codes’ details. (After clicking on it, this button transforms into Collapse all, which hides all of the expanded details.)

  • Down arrow (⌄) — expand the details of a specific promotion code.

  • Ellipsis (…) — open an Actions menu with the following options: Edit, Assign, Duplicate, and Delete.

View your Booking Engine’s promotion codes

By default, the Promotion codes tab features minimal information. To view your promotion codes in more detail, follow the steps below.

  1. Go to Direct booking > Promotion codes.

  2. Click on one of the following options:

    • Down arrow (⌄) — view the details of a specific promotion code.

    • Expand all — show the details of all promotion codes.

Each promotion code features the following:

  • Description — a description of the promotion code (which is written by you and visible to customers on your Booking Engine).

  • Default discount — the promotion code’s default discount on the price of the reservation.

  • Stay dates — the dates when customers using this promotion code can stay at the property (if applicable).

  • Sell dates — the dates when customers using this promotion code can make a booking at the property (if applicable).

  • Assigned to X room rates — the number of room rates that the promotion code has been assigned to. (To see which ones have been assigned, click on the down arrow next to Assigned to X room rates.)

💡 Note:

  • You can track promotion codes for your booked reservation(s) by downloading a reservation summary. To do this, go to Reservations > filter your reservations > Download CSV > Reservation summary.

  • If a promotion code has Stay dates or Sell dates in the past (in other words, expired dates), it will not be bookable.

  • A Restricted label indicates that the room rate is hidden and only available if a customer enters the assigned promotion code.

  • To change the visibility of any room rate linked to a promotion code, click on the Restrict rate toggle when editing a Direct booking rate. If the Restrict rate toggle is switched off (the default setting), the room rate will be visible to all customers on your Booking Engine.

Modify your Booking Engine’s promotion codes

  1. Go to Direct booking > Promotion codes.

  2. Locate the promotion code and click on its ellipsis button (...).

  3. From the Actions menu, select any of the following:

    • Edit — select this to change the fields and/or sections of the promotion code, and once complete, click on Save. (: .)

    • Assign — select this to choose the specific room type(s) and/or room rate(s) that the promotion code should be assigned to, and when finished, click on Save.

    • Duplicate — select this to quickly duplicate a promotion code by entering the Promotion code name and clicking on Duplicate promotion code. (If necessary, edit the promotion code to customise it.)

    • Delete — select this to remove the promotion code, then confirm by clicking on Delete.

⚠️ Note:

  • Deleting a promotion code cannot be undone — it will be permanently removed from its assigned room rates and your Booking Engine.

  • You can also delete a promotion code via the Actions menu. Click on Edit > scroll to the bottom to click on Delete promotion code > Delete.
