Create a promotion code for your Booking Engine

💡 Important to know:

  • Promotion codes created in our platform can only be used in the Booking Engine.

  • Your channel(s) may use different promotion codes from ours — for more information, please contact their support teams.

  • To manage your Booking Engine’s promotion codes, go to Direct booking > Promotion codes.

  • You can track promotion codes for your booked reservation(s) by downloading a reservation summary. To do this, go to Reservations > filter your reservations > Download CSV > Reservation summary.

Introduction to promotion codes

Promotion codes — also known as promo codes — are exclusive, limited-time discounts that can encourage customers to stay or stay again at your property. Once you have created a promotion code in our platform, customers can enter it on your Booking Engine (along with their search criteria) to receive a discount on their reservation. There are various ways you can advertise your promotion codes:

  • Post-departure e-mails — to increase your number of returning customers.

  • Social media, newsletters, your property’s official website — to get new customers to book using your Booking Engine.

  • Marketing campaigns: internet, newspapers, TV, radio, billboards, posters, etc. — to target the specific kind of customer that would like to stay at your property (and get them to book from your Booking Engine).

💡 Note:

  • Once you have created at least one promotion code in our platform, a promotion code field will be featured on your Booking Engine that customers can use to enter a code.

  • Consider offering “exclusive” discounts with your promotion codes — they will seem more unique.

  • Before creating a promotion code in our platform, ensure that you have not only created the necessary room rates you want the code to be linked to, but also added them to your Booking Engine. This is especially important if you want to create unique offers that are only available through promotion codes and/or discounts linked to specific restrictions.

Create a promotion code

  1. Go to Direct booking > Promotion codes.

  2. Click on the Add promotion code button.

  3. Follow the steps below.

Step 1: General information

Enter the required information and click on Next.

  • The promotion code that your guests will use — enter the code that customers must enter on your Booking Engine to get the deal offered in the promotion code. For example, ‘XMASoffer’. (Promotion codes can only contain letters, numbers, dashes, and underscores; spaces are not allowed.)

  • Promotion code description — add the promotion code’s description, and make it sound appealing.

  • Default discount — select either percentage or amount on the drop-down menu, then enter a numeric value to specify the discount. (When assigning this promotion code to your room rates, you can also set custom discounts to override this general Default discount , if necessary.)

  • Show discount amount to guests — tick this option if you want the discounted price to be visible to customers on your Booking Engine (shown under the booking summary’s Room charges > Promotional discount ).

Step 2: Stay and sell dates

Enter the required information and click on Next.

  • Stay dates — select this if you want customers to be able to use this promotion code to stay at your property on:

    • Any date — set no restrictions;

    • Selected dates only — set a specific date range.

  • Sell dates — select this if you want customers to be able to use this promotion code to book on:

    • Any date — set no restrictions;

    • Selected dates only — set a specific date range.

💡 Note:

  • To increase their appeal, we recommend tying your promotion codes to temporary offers that are only available for a limited time.

  • Always clarify when a promotion code will expire.

  • A customer can use a promotion code repeatedly as long as it is active on your Booking Engine.

  • Because our system cannot differentiate between customers who have or have not used a promotion code more than once, we recommend changing your codes regularly.

Step 3: Assign to room rates

  1. Use either of the following two options to select which room rate(s) you want to assign to a promotion code:

    • Search room rates — use this option to search for a room rate.

    • Select all room rates — tick this option if you want to select all room rates; alternatively, you can tick one or more room types (which will automatically tick all of the room type’s room rates) or specific room rates.

  2. To determine what the room rate(s) selected will look like to customers on your Booking Engine, use the Restrict rate toggle in the settings for a Direct booking rate :

    • Restrict rate — this indicates that the room rate is not visible to customers on your Booking Engine who have not entered a promotion code; however, if a customer enters a promotion code assigned to a restricted room rate, they will be able to see it

    • If the Restrict rate toggle is switched off, the room rate will be visible to all customers on your Booking Engine. (This is the default setting.)

  3. If you want to have multiple different discounts using a single promotion code with multiple room rates, first override a discount by clicking on the lock icon, then select amount or percentage in the drop-down menu, and enter the discount itself.

  4. Click on Next.

Step 4: Review and save

  1. Review the promotion code’s details.

  2. If you need to make changes, click on Back and make the necessary edits.

  3. When ready, click on Review and save to create the promotion code.

💡 You can track promotion codes for your booked reservation(s) by downloading a reservation summary. To do this, go to Reservations > filter your reservations > Download CSV > Reservation summary.
