Managing Booking.com Reservations

To manage a Booking.com reservation, go to the Reservations page and open a Booking.com reservation. Click the ellipsis button and select from the available options:

  • Report invalid payment card

  • Request cancellation of reservation

  • Report stay date changes

  • Mark as no show

About Booking.com Virtual Credit Cards (VCCs)

Booking.com may create a virtual credit card (VCC) for some bookings. When Booking.com sends a reservation to your platform, it will indicate if the payment card is a VCC.

💡 Refer to Booking.com's policy for processing VCC payments.

Report invalid payment card

To report an invalid payment card for a Booking.com reservation:

  1. Go to the Reservations page and open the reservation.

  2. Click the ellipsis button and select Report invalid payment card.

  • Success: Green confirmation window appears, followed by cancellation email from Booking.com

  • Error: Red error message (visit Booking.com's extranet for assistance)

Request cancellation of reservation due to invalid payment card

To request a cancellation of a Booking.com reservation due to an invalid payment card:

  • Go to the Reservations page and open the reservation.

  • Click the ellipsis button and select Request cancellation of reservation.

  • Success: Green confirmation window appears, followed by cancellation email from Booking.com

  • Error: Red error message (visit Booking.com's extranet for assistance)

💡 Fees collected by Booking.com: Payments by Booking.com handles the collection of fixed per-stay fees, percentage-based charges, and per-person fees such as city tax and tourism fees. Before charging a guest, check the Reservation details page in the Booking.com extranet for any online collected charges.

Mark guest as no-show

Mark guests who don't arrive for their reservation (Booking.com reservations):

  1. Go to the Reservations page and open the reservation.

  2. Click on the ellipsis button.

  3. Select Mark as no-show from the drop-down menu.

  4. Tick any Applicable rooms.

  5. Select Yes or No whether you would like to waive the no-show fee for this reservation.

  6. Click Yes, mark as a no-show to send the request to Booking.com.

Report stay date changes

Change stay dates and the total price for eligible Booking.com reservations without logging in to the Booking.com extranet.

  1. Click the ellipsis button and select Report stay date changes.

  2. Select the applicable room or rooms.

  3. Enter the new dates and total price.

  4. Click Report changes.

Booking.com reservation email notifications

Reservation email notifications are sent to your email address in: Distribution > Channels > Booking.com > Channel settings

Your property will receive email notifications when reservations are:

  • Created

  • Modified

  • Cancelled via Booking.com

💡 Booking.com also emails guests directly about their reservations.

Booking.com Pricing Models

Booking.com offers two pricing models:

  • Standard pricing (Per day pricing; PDP)

  • Occupancy-based pricing (OBP)

💡 To change pricing models: Contact our support team. Please allow up to 3 business days for the change to be processed. Wait until the model has changed to complete mapping. If the pricing model is changed, you will need to re-map your rates.

Standard Pricing Model (Per day pricing; PDP)

With standard pricing, each room has a fixed daily price regardless of the number of guests staying in it. The reservation total depends on the number of days booked — not the number of guests.

Example: If a guest books a room with maximum occupancy of three people at AUD 100 per night, the price stays the same whether one, two, or three guests stay in the room.

Note: When set up on the standard pricing model (Per day pricing), extra person charges will need to be set up and managed directly in the Booking.com extranet.

Single Guest Discount (with standard Pricing)

Important: Before enabling the Single Guest Discount, you need to enable the single-use rate on Booking.com's extranet first for the specific room type and rate plan.

You can set a Single guest discount for one-person reservations when mapping. The value is filled automatically by default from the room rate's Single guest discount setting.

To override this setting:

  1. Click the lock icon.

  2. On the drop-down menu, choose Amount to enter a fixed amount as a discount of the daily price, or Percentage to enter a percentage value as a discount of the daily price.

  3. Click Save.

Occupancy-Based Pricing (OBP) Model

With Occupancy-Based Pricing (OBP), you can vary a room's nightly price based on the number of guests staying in it.

Example: If a guest books a room with maximum occupancy of four people at AUD 100 per night with an Extra adult rate of AUD 20, the pricing would be:

  • 2 guests: AUD 100

  • 3 guests: AUD 120

  • 4 guests: AUD 140

OBP Mapping Settings

When using OBP for Booking.com, you must enter additional information in the Occupancy details section while mapping. These settings are inherited by default from the room rate and require clicking each lock to override them:

  • Included occupancy: The number of guests included in the rate set on your inventory

  • Maximum occupancy: The maximum number of guests who can stay in the room

  • Extra adult rate: The amount charged for each extra guest

  • Single guest discount: Tthis option is for one-person reservations (This feature will not be available if our platform has been enabled for Occupancy-Based Pricing, whereas Booking.com has not)
