Connect or disconnect Hotelbeds
Updated over a week ago

💡Important to know:

  • To connect Hotelbeds to our platform, you need an Hotelbeds account — if you do not have one, go to Hotelbeds’ website, create an account, and set up your property before proceeding.

Benefits of connecting Hotelbeds

HotelBeds is a global business-to-business company and prominent bedbank (a wholesaler that purchases rooms in bulk from accommodation providers and sells them to small online travel agencies, tour operators, airlines, and others).

They offer numerous additional services like transfers, activities, tickets, and car rentals to help properties up-sell and cross-sell products.

Updates supported by Hotelbeds

Our platform sends inventory updates to Hotelbeds that include the following data:

  • Rates and occupancy

    • Rates shown on the Inventory page

  • Availability

  • Restrictions

    • Minimum stay — also called ‘minimum stay on arrival’, this restriction only applies to the check-in day. For example, if you set this restriction to ‘3 night minimum stay’ for 2 June, and a guest wants to book a two-night reservation starting on 1 June, they will still be able to make the reservation.

    • Maximum stay — also called ‘maximum stay on arrival’, this restriction only applies to the check-in day.

    • Stop sell

💡Note:

  • Channels that accept stop sells can also accept your platform’s release period.

  • Hotelbeds does not support closed to arrival (CTA) and closed to departure (CTD).

  • Hotelbeds has a maximum inventory update period of 750 days.

Connect Hotelbeds

💡To connect Hotelbeds to our platform, you need a Hotelbeds account — if you do not have one, go to Hotelbeds’ website, create an account, and set up your property before proceeding.

Step 1: get your Hotelbeds property code

Log in to Hotelbeds’ extranet and take note of the Property code (also called “hotel ID”) that Hotelbeds has assigned to your property.

💡For more assistance with this step, contact Hotelbeds' support directly.

Step 2: add Hotelbeds to your platform

Follow the instructions in the section titled ‘Connect a channel’ in Connect, edit, or disconnect a channel. Make sure to add the channel ‘Hotelbeds’.

Step 3: follow the steps in the Channel Connection Wizard

  1. Enter your Hotelbeds’ Property code (noted during step 1).

  2. Review the connection and click on Connect.

  3. Once connected, please wait 24 hours for our support team to confirm the connection with Hotelbeds.

Step 4: ensure that you have rooms and rates created in Hotelbeds' extranet

While our support team confirms the connection with Hotelbeds, ensure that you have rooms and rates created in Hotelbeds’ extranet with configurations matching those in our platform. Also make sure you have one room rate in our platform for each Hotelbeds room rate you want to map.

Step 5: set up your Hotelbeds channel settings

  1. Once our support team has activated Hotelbeds’ connection, go to Distribution > Channels tab.

  2. Locate Hotelbeds and click on its ellipsis button (...).

  3. In the Channel actions menu, select Update channel settings.

  4. In the Channel settings tab, click on the edit button to modify settings.

  5. Click Save.

Reservation e-mails

When a reservation is created, modified, or cancelled through Hotelbeds (and we have received those updates into our platform), our system will send you the corresponding notification e-mails instead of Hotelbeds sending them to you.

💡Note:

  • The reservation e-mails are sent to the e-mail address set under your Hotelbed’s Channel settings. If you wish to modify the reservation e-mail address, please visit Connect, modify, or disconnect a channel.

  • There is an exception for properties that only have HSI (inventory updates) enabled for Hotelbeds (learn more HSI updates in our Map to Hotelbeds article). In this case, properties will receive e-mails from Hotelbeds with the reservation details attached as a PDF.

Step 6: map your rates to Hotelbeds

You can now map your room rates to Hotelbeds.

Step 7: check your inventory and enable Hotelbeds

Once you have completed mapping, follow these steps:

  • Check that the data in your inventory is correct.

  • Follow the steps in the section titled ‘Edit your channel settings’ in Connect, edit, or disconnect a channel to enable Hotelbeds.
