View your Cloudbeds reservations in SiteMinder

See your Cloudbeds reservations in SiteMinder alongside channel and direct bookings, including walk-ins and phone bookings.

How your Cloudbeds reservations appear in SiteMinder

Your Cloudbeds reservations now appear in SiteMinder automatically, alongside your channel and direct bookings, with nothing for you to upload manually. This includes bookings that previously did not reach SiteMinder, such as walk-ins, phone bookings, and bookings made through the GDS via Cloudbeds. When a reservation is created, modified, or cancelled in Cloudbeds, the same change appears on the reservation in SiteMinder.

You get your full reservation picture in one place, without juggling two systems to see every booking, and you can catch discrepancies between what a channel recorded and what Cloudbeds holds before a guest arrives, rather than at check-in.

Who is this available to?

This is an UltraSync capability, available if you use Cloudbeds as your property management system. Cloudbeds is currently the only UltraSync partner certified for it.

If you use a different property management system, your PMS reservations do not appear in SiteMinder yet. This will become available for other property management systems as more UltraSync partners become certified.

Find your Cloudbeds reservations in your Reservations list

You can search for and identify your Cloudbeds reservations in your Reservations list. The following changes help you work with Cloudbeds reservations alongside your channel bookings:

  • You can search for a reservation using either the channel reference number or the PMS reference number.

  • The Booking reference column has been renamed Channel reference.

  • A new Cloudbeds reference column shows the PMS reference number.

  • A new Cloudbeds delivery status column shows the status of the upload.

  • A new Channel source value, Cloudbeds, identifies reservations that came from Cloudbeds.

If a channel booking has just been made but its PMS reference number has not yet reached SiteMinder, the Cloudbeds reference shows two dashes/hyphens like “--” until the number is received.

When one channel booking covers multiple rooms, it can produce more than one PMS reference. The Channel reference column shows the single channel reference number, while the other columns, such as Cloudbeds reference, guest names, and check-in and check-out dates, show the additional information.

View PMS reservation details and history

Go to the Reservations page and open a reservation to view its full Cloudbeds details, reconciled with any matching channel record.

  • The channel record and the PMS reservation detail sit side by side, so you can view either one independently.

  • When a reservation has multiple rooms with individual PMS IDs, a PMS Reservation ID drop-down appears so you can switch between the different IDs.

Reservation history

The History section sits at the top of the reservation and shows a timeline of changes, including:

  • when the booking was made through a channel

  • when it was delivered to the PMS

  • any cancellations

Click a past version in the timeline to view a read-only snapshot of the reservation at that point.

Note: modifications do not show in history directly. If a reservation is modified, the change replaces the previous record

💡 PMS reservations and channel reservations store history differently. Each PMS state (booked, modified, cancelled) is kept as a separate record you can open and compare. For channel reservations, a change replaces the previous record, so earlier channel states appear in the timeline but cannot be opened.

Frequently asked questions (FAQs)

Does this change my availability or inventory?

No. Your Cloudbeds reservations do not affect your availability or inventory in SiteMinder. They do not change availability in the inventory grid.

Can I edit a PMS reservation or send changes back to my PMS?

No. You cannot edit a PMS reservation in SiteMinder, including its price, or sync changes back to your PMS.

Will I see duplicate reservations?

No. When a channel booking and a Cloudbeds reservation are for the same booking, SiteMinder automatically matches them using shared channel or reference IDs, so they appear as one reservation with both records attached.

Why can’t I see full card details on a PMS reservation?

Full payment card details are not available on PMS-uploaded reservations. Unlike a channel reservation, where SiteMinder receives and stores the full card number, a PMS upload does not include the full number, so there is nothing to unmask. If the reservation has an attached channel record, use the History section to go to the original channel record, which holds the full card details.

Do PMS reservations count towards my sell limit in Yield Rules?

No. The Yield Rules Rate Plan - Sell Limit counts only reservations from channels and direct booking, so Cloudbeds reservations do not count towards it. If a channel reservation has an attached PMS reservation and its dates are changed in the PMS, that change is also not reflected in the sell limit count.

Does PMS reservation data appear in Reports and Insights?

Yes. When a reservation has an associated PMS reservation, the PMS reservation data becomes the source of truth for Insights, because it is the more accurate record. Your Insights reporting then reflects your property’s complete picture, rather than channel-driven revenue alone.

Does this affect my Dynamic Revenue Plus pricing?

If you use Dynamic Revenue Plus, its pricing recommendations are based on your complete booking picture, including your Cloudbeds reservations, rather than channel bookings alone.

Are reservations for past dates supported?

Yes. Reservations for past business dates are supported, with no time-window limit or date lockout.
