Manage Multi-Property reports

Multi-Property Insights allows you to compile real-time data from your property portfolio into a single report.

Multi-Property’s reports are fully customisable thanks to their pivot tables, which give you the flexibility to build your own reports however you want them. You can add or remove a field in real-time to amend or adjust the information within the report.

Find below instructions about how to create, export, format, edit, reorder, and delete Multi-Property reports.

To access or create reports, go to Multi-Property > Insights page.


Create a report

  1. On Multi-Property, go to the Insights tab.

  2. Click on the Explore reservations button and choose the Date range for the reservations data in the report. The date range can either be based on the Booked-on date, Stay date, or Check-in date.

  3. Customise your report by clicking, dragging, and dropping fields from the All Fields section on the right hand side to any of the areas below to customise your pivot table:

    • Report Filters: adding a field here will automatically create a filter for that value.

    • Columns: adding a field here will automatically create a column for that field.

    • Rows: adding a field here will automatically create rows for that field.

    • Values: shows how you want the values to be calculated.

Customising report by dragging and dropping fields
  1. Find elements on the All fields section. You can drag and drop them to Report filters, Columns, Rows, and Values. You can select as many as you want to create your report exactly as you want. For more information, check: All fields available for your Multi-Property reports,

  2. Right-click on a value on the data table and choose how you want it to be calculated:

    • Drill through: allows you to explore the details of a specific cell.

    • Aggregation: select how you want the values to be shown and calculated. For more information about the aggregation types definitions, check: All fields available for your Multi-Property reports.

    • Number formatting: clicking here will open the Format cells option.

    • Conditional formatting. Learn more about Number formatting and Conditional formatting on section Format cells on Multi-Property.

  3. If you wish to save your report for frequent access, click on Save report, enter a name for your report, and click on Save. Your newly saved report will be available on your Insights page from now on.


Format a report

  1. On Multi-Property, go to the Insights page.

  2. Locate the report you wish to format and click on it.

  3. You can format your report by clicking on the Format button.

  4. Choose between Format cells and Conditional Formatting.

    Format cells:

    Selecting this option allows you to customise the following:

    • Choose value: you can select more than one between your customised options and Default value.

    • Text align: select how you want your text to be aligned: Left, Right or Center.

    • Thousand separator: you can separate your thousands with (Space); , (Comma); . (Dot).

    • Decimal separator: you can separate your decimals with , (comma) or . (dot)

    • Decimal places: choose how many decimals you would like to show between None and 9. If you choose None, no rounding is applied.

    • Currency symbol: add the symbol used for the currency on your reports.

    • Negative number format: choose between: -1, - 1, 1-, 1 -, and (1).

    • Null value: add a text to show when there is a null value.

    • Format as percent: choose between: True or False.

    Conditional formatting:

    This is a tool that formats cells based on specified criteria. You can add as many conditions and rules as you want. Formatting rules will be applied in the order that they were created. You can apply it to:

    • All the pivot table cells

    • A specific cell (providing row and column indexes)

    • Totals and subtotals

    • Regular cells

    💡 When you save a report, all the conditional formatting will also be saved and loaded when the report is retrieved.

    If you select Conditional formatting, click on the plus button or on the Add condition button. Then fill in:

    • Value: select the value to be updated between All values andyour customised options.Choose a condition from the drop-down menu (which offers mathematical operations) and write an amount.

    • Format: you can choose a font style, a font size, and text and highlight colours. Click on the letter to select text and highlight colours (you can use hexadecimal color codes if you want a specific colour not shown on the options).

  5. If you wish to save your report for frequent access, click on Save report, enter a name for your report, and click on Save. This now means that your newly saved report is available on your Insights tab.


Export data

  1. On Multi-Property, go to the Insights tab.

  2. Locate the report you wish to export.

  3. Click on the report

  4. Click on the ellipsis button (...) at the top right of the report.

  5. Select between Export to Excel and Export to PDF.

💡 You may want to toggle the Raw data view on the table before exporting. This makes the exported data have a simple table format.


Change the order of my reports

You can order your reports on Multi-Property >Insights page alphabetically by clicking on the Sort by drop-down menu. There are two options: Alphabetical (A-Z) and Alphabetical (Z-A).


Edit a report

  1. On Multi-Property, go to the Insights page.

  2. Locate the report you wish to edit and click on it.

  3. You can now update:

    • The name of the report by clicking on the edit button.

    • All the elements of the pivot table.


Delete a report

⚠️ Deleting a report cannot be undone.

  1. On Multi-Property, go to the Insights page.

  2. Locate the report you wish to delete.

  3. Click on the ellipsis button (...) at the right of the report.

  4. Select Delete.

  5. Confirm the deletion by clicking on Yes, delete.

💡 The ellipsis button (...) inside of a report also allows you to delete it by clicking on Delete saved report.
