Create your check-in form
Your check-in form helps collect essential guest information before arrival.
To create your check-in form:
Go to Check-in > Check-in form.
Click the Add button.
Select the type of question you want to add from preset or custom options
Enter the question text.
Set any additional settings such as marking as a sensitive or mandatory question.
Add any translations needed for active languages.
Click Save changes.
To rearrange questions, drag and drop questions to change their order in the check-in form.
Questions will appear in your default language if translations are not provided. Configure your default language in Settings > General > Localisation > Default language.
Available question types
Create questions based on the types of answers you require from guests:
Text: for open-ended responses and general information
Email address: for collecting and validating email addresses
Date: for requesting specific dates
Drop-down: for guests to select from a list of pre-defined options
Checkboxes: to select one or multiple options
Radio buttons: select a single option from multiple options
Terms: for guests to accept terms and conditions
Ways to Customise Your Check-in Form
Here are some effective ways to customise your check-in form:
Specify time slots — create drop-down boxes for guests to select preferred times for breakfast, leisure activities, or transfers
Confirm email addresses — use the preset Email question type to collect and validate guest email addresses when needed
Improve marketing — add questions about why guests chose your property to enhance your marketing strategy
Build mailing lists — include radio buttons for guests to opt into promotional communications
Delete a question
Click the Edit button on the question.
Click the Delete button at the bottom of the page.
⚠️ The Preset and Field type fields cannot be modified after creation. If you select the wrong question type, you will need to delete it and create a new one.
Customise welcome and completion text
When guests click Check in, they see the welcome text first. After submitting the check-in form, they see the completion text.
To modify these messages:
Go to Check-in > Settings > Languages.
Enter your message in the Check-in greeting text and Check-in completion text boxes.
Add translations for each active language if needed.
Customise the check-in confirmation message
When guests submit their check-in form, they receive a confirmation message.
To customise this message:
Go to Check-in > Settings > Check-in confirmation message.
Modify the subject line and message text.
Add translations for each active language if needed.
Add your property logo
To add your logo to the welcome text:
Go to Settings > General.
Scroll to Appearance.
Under Logo, choose your file to upload.
💡 Logo requirements: Use a PNG version with minimum 200px and maximum 400px horizontal resolution. Ensure it has a white or transparent background and is high quality as guests will see this image.
Create a check-in message
To set up scheduled messages to be sent automatically via email, SMS, or via Airbnb for Airbnb guests:
Go to Guest Engagement > Communication > Scheduled Messages.
Next to Pre-stay, click the Create new button.
Click on Check-in.
In the Email design tab, set up the email content, including message copy, subject line, header image, etc.
To set up a text message, go to the SMS tab.
Set up the Sending rules and Segmentation.
If needed, add custom translations for your enabled languages.
Test the check-in form
To preview the check-in form and messages from a guest's perspective, create a scheduled message and send a test message.
You can also add yourself as a guest to review the form:
Go to Guests > Add guests.
Complete all reservation details fields and click the Add guest button.
In the Guest profile, click the ellipsis button (three dots button) in the top right of the Guest information panel.
Select Check-in form.
Review the form as it will appear to guests.
