Set up taxes and service charges

Important to know:

  • Only admin users can create, modify, or delete tax settings.

  • To access this feature, go to Payments > Taxes tab.

  • Payments must be enabled to access Taxes. You can enable Payments by choosing a payment gateway and following the instructions.

Introduction to Taxes

Local laws and regulations determine the taxes and service fees you need to charge, and how you are required to display this information. In the platform, you can configure taxes and tax settings to comply with your local tax laws, maintain compliance, and customise how they are displayed.

Important information

  • The taxes you set up in your property platform do not affect the tax settings in your channel extranets, and only apply to your direct booking engine. To set up taxes in your channels, go to the channel extranet.

  • Tax information that you set up in your property platform must be correct according to the laws and regulations of your local jurisdiction. We recommend consulting a local tax authority or accountant to ensure your setup is compliant.

  • The tax information you set up will be shown to guests in the following places:

    • The page where the guest is asked to confirm their reservation.

    • The reservation confirmation e-mail that the guest will receive.

    • The booking confirmation page (and its printer-friendly PDF version).

    • Optionally: taxes can be included in the rates that are displayed to guests.

Create a new Tax rule

  1. Go to Payments > Taxes tab.

  2. Click on the Add tax button.

  3. Enter a relevant name in the Tax name field.

  4. Select between a Percentage or Fixed amount tax, then follow the steps below depending on your choice.

Option 1: Percentage

To create a tax rule that is a percentage of the total price:

  1. In the field, Percentage of tax from the total price - enter a percentage amount.

  2. Select from the Tax applied to options - determines which goods and services the tax will apply to:

    • All rooms and extras - applies to all of your goods and services.

    • All rooms - applies to all rooms, including extra occupancy fees.

    • Extras only - applies only to extras.

    • Or, you can select specific extras to apply it to. If you have created any extras, they will be listed here, and you can select one or more of these.

  3. Save your setup.

Option 2: Fixed amount

To create a tax rule that is a fixed amount added to the total price:

  1. Open the menu underneath Amount added on top of the booking , and select from:

    • Per booking - applies just once to each booking.

    • Per night - applies once for each night booked. Example: a booking for three nights will have the tax applied three times.

    • Per person - applies once per person in the booking.

    • Per person per night - applies once per person and per night. Example: a booking of three people for four nights will have tax applied twelve times.

    • Per room - applies once per room booked.

    • Per room per night - applies per room per night. Example: four rooms booked for five nights will have tax applied twenty times.

  2. Enter a tax value.

  3. Click on Save.

Edit a tax rule

To edit an existing tax rule:

  1. Go to Payments > Taxes tab.

  2. Click on the pencil icon > Edit tax.

  3. Edit any of the fields.

  4. Click on Save.

Delete a tax rule

To delete an existing tax rule:

  1. Go to Payments > Taxes

  2. Click on the pencil icon > Delete tax.

  3. Click on Delete to confirm.

Switch to inclusive or exclusive tax settings

  1. Go to Payments > Taxes tab.

  2. In the Tax settings section, click on the pencil icon.

  3. Change any of the settings:

Setting 1: Show rates including tax and service charge on the direct booking engine

The options are:

  • When ticked: the prices shown in your direct booking engine will include taxes. This avoids surprising guests with additional fees when they view the checkout page. Example: if the price of a room is 100 AUD and the tax rate is 10%, the price displayed will be 110 AUD. This is because 100 + 10% = 110

  • When not ticked: the prices shown in your direct booking engine will exclude taxes. Customers will only see the taxes when they view the checkout page. Example: if the price of a room is 100 AUD and the tax rate is 10%, the price displayed will be just 100 AUD

Setting 2: Include tax and service charges on Inventory grid rates for the booking engine

Then options are:

  • When ticked: the rates in your inventory will include taxes. Use this setting if you find it convenient to enter rates inclusive of tax into your inventory. Example: if you enter a rate of 100 AUD, and the tax rate is 10%, then the price excluding taxes is 90 AUD. This is because 100 - 10% = 90

  • When not ticked: the rates in your inventory will exclude taxes. Example: if you set a rate of 100 AUD, and the tax rate is 10%, then the price including taxes is 110 AUD. This is because 100 + 10% = 110
