How to search for and view a reservation. Find guest information and payment details within the reservation.

Search for a reservation

To search for and review a reservation, log in to your platform > go to the Reservations tab. Use the filters to search for a reservation by:

  • Booking reference / Reservation ID — if you know the booking reference, simply enter the booking reference and delete the date field by clicking “Clear all filters” (no need to enter dates if you have the booking reference).

  • Booked on, check-in, or check-out date.

  • Guest name.

  • Channel the reservation was booked on.

  • Booking status (booked/confirmed, modified, or cancelled).

  • PMS delivery status (pending, delivered, or failed) — if the reservation was delivered to your PMS.

Note about Connectivity status / PMS delivery: if the room type or room rate is not mapped to the channel or to your PMS, the Connectivity status column for the reservation delivery status will be blank (-). Make sure to map all your required room rates to the channel and to your PMS/CRS/RMS from your SiteMinder platform.

View reservation details

Once you find the reservation you are looking for, click on the reservation’s booking reference to see the booking details including:

  • Booking reference / Reservation ID — the ID generated by the channel which is also provided to the guest.

  • Check-in and check-out date. (Note: the date formats in your SiteMinder platform (DD/MM/YYYY or MM/DD/YYYY) are based on your workstation/computer’s time and date settings.)

  • The room rate booked, number of guests, and total amount charged.

  • The channel the reservation was booked on, and the secondary source of reservation if applicable, for example if the booking was made on Hotels.com, via Expedia..

  • The main guest’s name, address, and contact details (if applicable).

  • Approximate arrival time (if provided).

  • Notes and preferences — any comments added by the guest at the time of booking.

  • Payment summary and payment card details.

  • The time and date the reservation was booked (check the History section at the bottom right of the page).

If the reservation was processed for an unmapped rate:

If the reservation was processed for a rate that was not mapped to the channel, the room type and rate plan will be blank (-) in the Room details section of the reservation. Make sure to map all your required room rates to the channel to reduce the risk of overbookings.

Reservation payment summary

The payment summary and payment details are included on the reservation details page. If you are using SiteMinder Pay, you can process a payment, refund a reservation, or send a payment request from the Payment details section of the reservation.

In the Payment summary, view:

  • Payment reference.

  • Payments taken — this will only show if you are using SiteMinder Pay.

  • Manage payments — if you are using SiteMinder Pay, process and manage payments for this reservation.

  • Deposit amount — applicable to your SiteMinger booking engine, or if you take Automated payments via SiteMinder Pay for certain channels..

  • Outstanding balance.

  • Total — the total amount including a breakdown of the price for the room, and any extras and taxes.

View payment card details for a reservation

Admin users and General users with Reservation permissions can access guest’s payment card details.

Find the payment card details within the Payment details section in a reservation. They will be available for up to seven days after check-out.

To view the card details, click on the eye icon. A security code will be e-mailed to the e-mail address associated with your account. Enter the security code to view card details including cardholder name, card number and expiry date.

View the CVV/CVC of a card:

  • If reservation e-mails are enabled and sent by SiteMinder (set up in the Reservation e-mail address field in a channel's Channel settings) — find the CVC of the card in our reservation confirmation e-mail.

  • If you don’t receive reservation confirmation e-mails via SiteMinder, then you can find the CVC via the channel’s extranet.

About virtual credit cards (VCC):

If the channel provided a virtual credit card (VCC), you will see “VCC” in the Payment type field. For some channels, you may also see the balance, activation date (first day you can charge the VCC), and deactivation date.

Run a check-in report

To see your reservations checking in within a certain period, run a Check-in report under the Reservations tab > Check-in report.

Search check-ins for specific dates, for the last 7 or 14 days, or for the next 30 days. Once you run the report, view reservation details including guest names, length of stay, room type and rate plan, booked-on date, channel booked on, and total amount.

Download a list of reservations

To export a list of reservations (a reservation summary or room stay report), go to the Reservations page and search for reservations, then click on the Download CSV button at the top left of the table.
